Preface

At the end of September, I had the privilege of attending the 29th China Hardware Expo, which attracted numerous small and medium-sized factories. For us, as a foreign trade company, this was a rare opportunity to find suitable suppliers to provide quality products to our clients. As a sales representative in foreign trade, I often reflect on what buyers truly focus on when selecting suppliers. Today, I’d like to take this opportunity to share some of my experiences, especially from the perspective of a buyer, on how to choose the most suitable partner.

Hard Strength: Product Compatibility and Quality

When visiting the expo, I wasn’t concerned about whether a supplier’s booth was flashy; what mattered was whether the products met the needs of our clients. For example, I have a Spanish client looking for electric lithium battery-powered pruning shears, with clear requirements for price, design, and safety certifications. So, as I browsed the booths, I first filtered out those suppliers whose products didn’t meet the safety standards, ensuring my time was spent on those who could potentially fulfill the client’s needs.

For suppliers whose prices exceed the client’s budget by more than 20%, I usually don’t pursue further discussions. On the other hand, manufacturers that specialize in a particular product category (such as only producing lithium battery-powered pruning shears) catch my attention because they tend to focus more on product development and improvement. This level of specialization often offers better options for buyers.

Flexibility: Catering to Different Client Needs

Sometimes, a client’s needs are not as clearly defined. For instance, a Portuguese client was looking to purchase a set of basic manual tools. In such cases, I rely on previous purchasing records and market preferences to choose the right supplier. For buyers targeting mid-to-low-end markets, cost-effectiveness is the top priority. Thus, I prefer to work with smaller factories that offer a more focused product range, rather than those with large, flashy booths.

These smaller suppliers often have lower operating costs, making their prices more competitive, and their product focus enables them to offer more customized and flexible services for clients.

Soft Strength: The Salesperson’s Professionalism and Attitude

Aside from a supplier’s product capabilities, the professionalism and cooperation of their sales staff are key factors I consider when selecting a supplier. The way a salesperson communicates in the initial stages often serves as a good indicator of how smooth the collaboration will be later on. Those who quickly understand the client’s needs, provide accurate solutions, and recommend the right products tend to make the entire process much more efficient.

On the contrary, if a salesperson is slow to respond or recommends products unsuitable for the client, it not only wastes time but also undermines confidence in future cooperation. Therefore, choosing a partner who understands your needs and communicates effectively is critical to ensuring a successful partnership.

Conclusion

As a buyer, I understand how important it is to find a supplier that meets product requirements and ensures smooth communication. During this expo, I realized that selecting a supplier involves considering many aspects. I hope my insights can help more buyers understand how to choose the right supplier and also help suppliers understand that what buyers truly care about are compatibility, efficiency, and the willingness to collaborate.
