Today, we encountered an issue with the shipping mark on the cartons of a repeat order, which prompted me to seriously reflect on why errors frequently occur with repeat orders, while new product orders rarely have such problems.

The Issue:

Here’s what happened: We were scheduled to load the container tomorrow, but the production department hadn’t sent the product pictures, despite constant urging from the sales department. It wasn’t until late in the day that we received the inspection pictures. Upon review, we found that one of the three products had an incorrect shipping mark on the carton. The customer’s requirements were somewhat special: if it was a single item per carton, the shipping mark should use the inner box design; but if multiple items were packed in one carton, the single item still used the inner box design, but the carton’s shipping mark required a different template. The production department mistakenly used the multiple item shipping mark for a single item, leading to the error.

Solution:

Upon discovering the issue, the production team suggested we communicate with the customer to accept the shipment as is. However, we decided not to push the problem onto the customer but to resolve it ourselves. Although we initially planned to load the container the next morning, we immediately contacted the carton manufacturer to expedite the production of new cartons. Through effective communication, we arranged for the new cartons to arrive the next day. We also contacted the freight forwarder to check if delaying the port entry would affect the ship’s departure. Upon confirmation that a one-day delay would not be an issue, we rescheduled the loading plan.

Deep Reflection:

This incident led me to deeply reflect on why errors are more likely to occur with repeat orders. I believe there are two main reasons:

  1. Complacency: When we think we are very familiar with a task, we tend to become complacent, leading to mental relaxation. This mental relaxation can result in behavioral deviations and errors.
  2. Laziness: Because the task has been done before, people often feel it unnecessary to double-check, leading to frequent mistakes.

Improvement Measures:

To prevent similar issues from happening again, we will take the following measures:

  1. Strict Verification: Regardless of whether it’s a new order or a repeat order, we will strictly follow the verification process and set deadlines to ensure every step is accurate.
  2. Enhanced Training: We will strengthen employee training to avoid complacency due to familiarity, ensuring each operation is as meticulous as the first time.
  3. Process Optimization: We will establish a comprehensive inspection mechanism to detect and correct errors promptly, ensuring the customer’s interests are not compromised.
