Factory Quotes Vary Widely – How Buyers Can Choose the Right Supplier
Recently, a client approached us to handle a batch of wooden products they had previously sourced. They provided product images, specifications, quantities, and their previous purchase prices. Upon receiving the materials, we immediately began analyzing the products’ internal structure and details. The order included 11 different products. Normally, our pricing process is very fast — often the same day or the next day — but this time, it took a full week before we were ready to provide a quote.
Why the delay? Because choosing the right supplier is about more than just price.
When we compared quotes from six different factories, the differences were striking. Some were far below the client’s target price, while others were nearly double. In this situation, simply quoting the lowest price would have been easy, but as a responsible sourcing partner, we needed a more comprehensive evaluation.
Key Factors in Supplier Selection
Instead of focusing solely on price, we assessed the suppliers based on several critical factors:
- Factory scale and annual production capacity
- Number and experience level of employees
- Inspection and quality control processes
- Certifications (e.g., bamboo/wood certification, E1 standard for boards)
- Factory location and proximity to ports for shipping
- Labor costs relative to the region
- Existing client base and market compatibility
- Compliance with export regulations and industry standards
- On-Site Evaluation and Final Decision
After initial screening, we decided to visit the two most promising suppliers in person — one in Changzhou and one in Ganzhou. Over three days, we conducted thorough inspections and gained a deeper understanding of each factory’s capabilities.
Ultimately, we selected the Ganzhou factory because:
- They held all necessary certifications, including bamboo/wood certificates and E1-compliant board material.
- Their factory scale and management were more professional and standardized.
- Their quote was reasonable — not the cheapest, but justified by quality and compliance.
Lessons Learned
This experience reinforced an important principle: price alone should never be the deciding factor in supplier selection. The cheapest supplier may carry hidden risks, while the most expensive is not always the best. For buyers, a comprehensive evaluation of quality, compliance, production capability, and long-term reliability is crucial.
